This privacy policy explains how our organization processes the personal data we collect from you. Any questions regarding this policy should be sent by email to dataprotection@uarctic.org.

Why do we process your information?

The processing of your information makes it possible for us to conduct business of the UArctic Association, manage the relationship with our member institutions, partners and donors, and maintain contact with our stakeholders. 

What type of information is collected from you?

We collect and maintain institutional affiliations, names, email addresses, and titles for relevant contact persons at member institutions and applying institutions. Some of the institutional contacts are collected as a condition of UArctic membership to ensure smooth communication and enable participation in UArctic activities. Other institutional contacts are collected if the institution participates in related UArctic activities.

Institutional contacts include:

  • Assembly representatives
  • Heads of institution
  • Administrative contacts for heads of institutions
  • International Studies contacts
  • north2north institutional coordinators
  • Membership fee contacts
  • Leads and members of UArctic Thematic Networks
  • UArctic Chairs

We collect and maintain institutional affiliations, names, email addresses, and titles for individuals with governance, advisory or administrative roles within UArctic. 

We collect and maintain email addresses and names for individuals who voluntarily subscribe for mass communications from UArctic, including our newsletter, the Member Bulletin, and the Community Update.

We collect and maintain information on our donors including contact details (name, email address, mailing address), publicity consent and communication preferences, and details on past donations. UArctic does not store donors' credit card information.

How do we collect information from you?

You directly provide us with most of the information we collect and maintain.

UArctic members inform us of their relevant contact persons when applying for membership or becoming engaged in UArctic programs and activities. They also inform us when any of the contact information should be changed or removed. Donor information is collected via online donation forms and Deeds of Gift upon donating.

Subscribers to our email newsletter and Community Update provide their name and email address upon subscription. They can manage their subscription settings or unsubscribe at any time using the link included in each message.

How is your information used?

We use your information to:

  • Communicate about news, activities, and events relevant to members of UArctic and to subscribers of our email newsletter, Member Bulletin and Community Update.
  • Share institutional contact information on the member profile pages of the UArctic website to enhance collaboration.
  • Process membership fee payments.
  • Update and maintain institutional member information.
  • Conduct the business of the Assembly and the Board of UArctic.
  • Send you communications which you have requested and that may be of interest to you.
  • Maintain donor relationships, including sharing updates and making appeals.

Who has access to your information? 

UArctic's administrative functions are shared between and hosted by several member institutions. It is therefore necessary for relevant UArctic staff at these institutions to have access to information that enables them to do their work, including your contact information. 

We may share your personal information to third parties where required by law, where necessary to administer the relationship with you, or where we have another legitimate interest in doing so. Third parties include service providers, consultants and other professional advisers, fundraising volunteers, and other individuals and entities working closely with us. They are required to take appropriate security measures to protect your personal information in line with our policies, and only use the data for specified UArctic purposes.

How long do we store your information?

Information on institutional contacts is stored for as long as the individuals serve in their roles related to UArctic membership and activities. The same applies to individuals serving in governance, advisory or administrative capacity. Information on newsletter and Community Update subscribers is stored for as long as the individual chooses to stay subscribed.

How you can access, update or remove your information

You can request to see your personal information that we maintain or have it updated or removed by contacting dataprotection@uarctic.org. Please note, however, that certain institutional contacts are provided as a condition of UArctic membership. Contact information for individuals with UArctic-related roles can be updated or removed by contacting secretariat@uarctic.org.

Security precautions in place to protect the loss, misuse or alteration of your information

Personal data maintained by UArctic (beyond what is shared publicly on the UArctic website) is accessible to designated staff at member institutions who have relevant administrative roles in the organization. The data is accessible only with individual password-protected accounts.
